Your own quotes

When you want the rule running on your real HubSpot quotes, connect your portal with an access token created in your own HubSpot account. You pick the scopes and you can revoke it from HubSpot at any time. HubSpot requires a Super Admin to create one, so if that is not you, your HubSpot admin makes the token and hands it over.

01 · The cost of leaving it

The approval itself takes four seconds. Everything around it is the problem.

Someone has to chase

A quote that needs a second pair of eyes sits in a queue nobody is watching. The rep pings, the approver misses it, the rep pings again. The deal does not move because of judgement, it moves because of attention.

The approver becomes a line item

On every quoting tool we checked, the person whose entire job is to click approve has to be paid for. HubSpot's free View-Only Seat cannot approve, because approving is an account change. Quotivity's own FAQ puts it plainly, on both tiers it publishes: anyone who creates or approves a quote counts as a seat.

So the policy gets quietly dropped

When the second approver costs a licence, teams stop adding the second approver. The deal desk becomes one person, then it becomes nobody, and the discount policy becomes a norm rather than a control.

02 · What you get for free

One complete routing rule, running for good, with as many approvers on it as you like.

The rule

Pick a condition, blended discount, quote amount, owner or team. Set the threshold. Name who signs it off. That is the whole setup.

The approvers

As many as you want on that rule, at no cost, indefinitely. Approving never consumes a seat here, because our price does not attach to approver headcount.

The approval itself

Your approver gets a signed single-use link. They read the lines, they approve or send it back with a note. No HubSpot login, no account with us, nothing to install.

The record

Every route, send, open and decision is written down as it happens, with who did it and which rule fired. Export is on the paid plan.

Live the moment you save the rule. No review window, nothing to wait on, nobody to talk to.

03 · How it works

From one rule to a published quote, with nobody chasing anybody.

  1. 01

    Write one rule

Choose the condition and the threshold, then name the approver. The console above is the real thing, so you can do this now without connecting anything.

    About two minutes

  2. 02

Connect HubSpot when you are ready

Paste an access token you create in your own portal, under Development then Legacy apps. HubSpot requires a Super Admin to create one, so loop in your HubSpot admin if that is not you. QuoteRelay reads your quotes and their line items, and watches for new ones. You stay in control of the credential and can revoke it from HubSpot at any time.

About two minutes once a Super Admin is on hand, and it is optional to try the tool

  3. 03

A matching quote goes to its approver

QuoteRelay checks your quotes when you press check in your workspace, and again on a daily sweep. Matching quotes go to the named approver as a signed single-use link, and they approve or send it back with a note. Nothing is published until somebody approves it.

On demand, plus a daily sweep

  4. 04

    On approval, the quote publishes

QuoteRelay asks HubSpot to publish, then waits for HubSpot to confirm rather than assuming it worked, and checks the buyer-facing page is actually serving before telling you it is live.

HubSpot settles this in about twenty seconds

The panels are schematics of the mechanism, not screenshots. The working thing is the console at the top of this page.

04 · What an approver costs

Everywhere we looked, the person who clicks approve is billable. Here they are not.

Published list prices, read off each vendor's own pricing page on 1 September 2026. Where a vendor sells the same plan at two billing frequencies we took the ANNUAL one, which is the cheaper of the two and the one that flatters them, and every row below says which control position its figure was read at, because a price read at one position on a vendor's own toggle is not that vendor's price. The row under each name is that vendor's own wording, not ours. QuoteRelay's number is the only one we control.

$125$125$125$275none

Monthly figures, per month, rounded to the dollar. Euro prices converted at 1.08 USD. Quotivity Pro and Portant include a bundle of five seats in their floor, so their figures stay flat up to five approvers and only start climbing after that. Mobileforce is flat across this whole table for a blunter reason: its own calculator will not go below 25 users, so 25 users is the smallest number it will quote and the first ten approvers are inside that floor. Its multi-level approvals are a separately priced add-on on top. Where a vendor publishes no price we have left them out rather than guess.

The honest reading of that table: our flat $99 is not the lowest figure in every column. At one approver HubSpot is $92 and we are $99, so if a single person approves everything, HubSpot is cheaper than us and the rest of this section is beside the point. What we have is the slope rather than the starting point: every other row is priced per seat, so it starts climbing the moment you are past whatever bundle its floor includes, and ours never starts climbing at all. HubSpot passes us at the second approver and keeps going. Three of these rows are also full CPQ suites, and their price buys quote building, price books, contract management and a great deal else that QuoteRelay does not do at all, so read the table as what it is, the cost of the person whose only job is to click approve, and not as a like-for-like product comparison. One row stays flat all the way across only because the table stops at ten: Mobileforce will not quote below 25 users, so its slope begins past the right edge of this table rather than not existing.

The comparison we actually lose is not on this table at all. If you are already on Revenue Hub Professional with a Revenue Seat, HubSpot's own quote approvals cost you nothing further, and you should use those rather than pay us.

The paid plan

$99 / month

  • Unlimited routing rules and approver groups
  • Unlimited approvers, which is also true on the free tier
  • A saved workspace, so your rules and trail survive the browser
  • Audit trail export as CSV
  • No onboarding fee, no annual lock, cancel from the billing portal

One rule stays free for good, with unlimited approvers on it. If one approval scenario is all you have, you never need to pay us.

05 · Where QuoteRelay actually differs

The capability is not the gap. The seat is.

HubSpot shipped multi-approver quote routing on 24 September 2025, and it is good. We are not going to pretend otherwise, and we are not faster than a settings toggle. What we do differently is who has to be licensed for it, and what you have to be on to get it.

On thisHow the category does itHow QuoteRelay does it
Criteria routing on the quote
Yes, on a paid seat
HubSpot ships this. Approval above a quote amount, above a discount level, or on a particular SKU are all standard approvals, which run on Revenue Hub Professional. Revenue Hub Enterprise buys branching, ordering and exceptions: different approvers per condition, sequential chains, and bypass rules for named quote owners. Either tier needs a Revenue Seat to enable.
Read 1 September 2026 on each vendor's own page: HubSpot: quote approval use cases (the page labels each scenario with the approval type it needs. Approval above a quote amount, above a discount and on a certain product by SKU are each "Approval type: standard or advanced", so none of the three is Enterprise-gated. Sequential approvals, different approvals per branch and bypass for named quote owners are each "Approval type: advanced". Article badge: Revenue Hub Professional, Enterprise. Last updated 16 June 2026, read in English, the page default, with no plan or billing control on it); HubSpot: set up quote approvals (in its own words, "A Revenue Hub Enterprise subscription is required to use advanced approvals", while standard approvals assign up to 10 approvers against property filters. Last updated 22 July 2026, read in English, the page default); HubSpot: product and services catalog (the seat table defines the Revenue Seat as granting "complete access to Revenue Hub Professional or Enterprise, including advanced CPQ tools", and its footnote makes full Revenue Hub Professional or Enterprise functionality require one. Read at the desktop layout, where the seat rows render expanded rather than inside the mobile accordions, with no plan or currency control on that table).
Yes, on any plan
Same capability, self-serve, on whatever HubSpot plan you already have, including the free CRM.
Who can approve
A licensed seat
Approving is an account change, so a free View-Only Seat cannot do it. Quotivity counts anyone who creates or approves a quote as a seat, on both tiers it publishes: its FAQ states the rule once for the product rather than per plan.
Read 1 September 2026 on each vendor's own page: HubSpot: product and services catalog (the seat table defines the View-Only Seat as one that "Allows a user to view the subscription services without making any changes to their account", and prices it at no additional cost in all three subscription columns. Read at the desktop layout, where the seat rows render expanded rather than inside the mobile accordions); Quotivity pricing (its FAQ answers "Who counts as a seat?" with "Anyone who creates or approves a quote", and adds that admins who configure the system but do not touch live quotes do not need one. The answer is published once, below both Quotivity Pro and Quotivity Enterprise, rather than per tier. The page carries no billing, currency or tier control, so there is only one control position to read it at).

What the price attaches to
Per seat
Per seat, in every tool on the ladder above, plus a five-seat floor and an onboarding fee at the CPQ end of the market.
Per company, flat
Per company, flat. Adding a sixth approver changes nothing on the invoice.
Getting started
Demo gated at the CPQ end
HubSpot itself is not, and we are not going to imply it is: Revenue Hub Professional, the tier the first row names, carries a Buy now button on HubSpot’s own pricing page, and only Enterprise routes to Talk to Sales. It is the CPQ end of the ladder where getting started stops being self-serve. Quotivity and GleanQuote are demo-gated with an annual minimum, and not only at the top of the ladder: Quotivity on both tiers it publishes, GleanQuote on Complete, the only tier its pricing page renders. Revenue Cloud implementations for orgs with complex approval hierarchies are commonly quoted at six to eighteen months.
Read 1 September 2026 on each vendor's own page: HubSpot: Revenue Hub pricing (Professional carries Buy now at both billing positions; only Enterprise routes to Talk to Sales); Quotivity pricing (no self-serve purchase path on either published tier: Quotivity Pro at $5,000 a year including 5 users and Quotivity Enterprise at $10,000 a year including 10 users, each routing to a Talk To Our Team link rather than to a checkout. Get a Demo is a form section heading further down the same page, not a button. The page carries no billing, currency or tier control, so there is only one control position to read it at); GleanQuote pricing (Complete is the only tier the page renders: $55 per user per month on Annual Billing with a five-user minimum and a required $2,500 onboarding fee. Its FAQ scopes the term in its own words, "Our Complete plan is annual billing and commitment only", and its free trial is reached by requesting a demo).

06 · Real feedback, from people who are not our customers

QuoteRelay has no customers yet, so there are no testimonials here.

What there is instead: five things real people wrote in public about this exact problem, on r/hubspot and the HubSpot Community, between May 2025 and June 2026. Each one is our summary of what they said, with a link to their original comment so you can read their words rather than ours. We have never spoken to any of them, and we do not reproduce their text here, because it is theirs.

Approves quotes through a fully manual Slack process and wants criteria-based routing that leaves an audit trail. Found the native Commerce Hub Enterprise approval setup frustrating because it runs on workflows, and is evaluating DealHub and PandaDoc. They call DealHub robust but put its price at the high end, and say a full CPQ might be more than they need given how simple their own setup and requirements are.

A HubSpot user running approvals by hand, r/hubspot, 28 April 2026 · read it on r/hubspot

The closest artefact in the harvest to what this console does.

Says quotes have become a bottleneck as the sales team grows, and asks for the approver to be chosen by criteria: one approver below a 50 percent total line-item discount, an executive above it.

A sales operator scaling a team, HubSpot Community, 6 May 2025 · read it on the HubSpot Community

That threshold is the rule the console on this page starts with.

Pays for Sales Enterprise, still cannot reach quote approvals, and asks whether a whole extra module has to be bought on top of a licence they already hold.

The same person, five months later, HubSpot Community, 16 October 2025 · read it on the HubSpot Community

We are telling you it is one person and not two, three weeks after HubSpot announced the feature had shipped.

Pleased that quote approvals exist at all, disappointed they are Commerce Hub only, and reports quoting near-daily and repeatedly finding problems in quotes that have already gone out.

A Sales Hub Professional customer, HubSpot Community, 23 January 2026 · read it on the HubSpot Community

Wants a quote redirected automatically when the approver is out of office, detected from their calendar, and explicitly does not want more approvers, on the grounds that spreading responsibility across people slows a decision down.

And one who wants the opposite of what we sell, HubSpot Community, 30 June 2026 · read it on the HubSpot Community

This is the freshest on-wedge artefact in the harvest and it argues against our headline: our price stops punishing you for adding approvers, which is worth less if you want fewer. One buyer is not a trend, and leaving them out would have made the other four look unanimous.

07 · Who built this
Dario Verghi

I built QuoteRelay because approving a quote required a paid seat everywhere I looked.

I am Dario. I read every published pricing page in this category and could not find one where the person whose only job is to click approve was free. So I built a router where they are, and where the price attaches to the company rather than to approver headcount.

This is a new build and a first version, not a rebrand of something else. I read the first routing rule on every new account myself, which is a real limit on how many accounts I can take at once rather than a marketing device. If something here is wrong, the fastest way to get it fixed is to tell me.

08 · Straight answers

Including the ones that lose us the sale.

Does the approver need a HubSpot seat?

No. They open a signed single-use link, read the lines and click. They need no HubSpot login, no Revenue Seat and no account with us. That is the one thing QuoteRelay exists to do differently, so if it ever stops being true the product has no reason to exist.

Does HubSpot already do this?

Yes, and we will not pretend otherwise. HubSpot shipped multiple quote approvers on 24 September 2025, and its own documentation reaches further down the ladder than most write-ups suggest: approval above a quote amount, above a discount level, or on a particular SKU are all standard approvals, which run on Revenue Hub Professional. What Revenue Hub Enterprise buys is branching (different approvers for different conditions), ordering (sequential chains, up to five sequences of ten approvers each) and exceptions (bypass rules for named quote owners). Enabling either needs a Revenue Seat. QuoteRelay is for teams who want the routing without moving onto that plan or licensing each approver.

What does QuoteRelay NOT do?

It does not price your quotes, hold price books, build bundles, render quote templates, or bill anyone. It does not route approval notifications into Slack, Teams or Google Chat, because HubSpot already does that natively and for free. It does not simulate what a rule change would do to past quotes. It does not migrate anything off Salesforce CPQ. And it does not read your deal context and decide for you: the rules are yours, they are deterministic, and you can read them.

How does it connect to HubSpot?

With an access token you create in your own portal and paste in. In HubSpot you make it under Development, then Legacy apps, then Create legacy app, and HubSpot requires a Super Admin to do that, so loop in your HubSpot admin if that is not you. You choose the scopes, you can see exactly what it can reach, and you can revoke it from HubSpot at any time without contacting us. There is no marketplace app to install yet, and there is no OAuth consent screen: QuoteRelay talks to one portal, yours.

What happens to a quote once it is published?

Nothing, and that is deliberate. HubSpot publishing is one way: a published quote cannot be returned to draft through the API, and attempting it takes the buyer-facing page offline while the CRM still reports the quote as live. We verified that on a real portal before writing a line of routing code. So QuoteRelay routes approvals entirely before publishing, treats published as final, and if a published quote needs to change, the answer is a new quote. You will not find a reopen button here.

How do you know a quote actually published?

We check. HubSpot publishes asynchronously, so the write returns before the buyer’s page exists. We poll HubSpot until it reports the quote settled, then fetch the public page and require it to actually load before telling you it is live. If it is still settling we say so rather than guessing, and we never retry into a state change.

How often does it check my quotes?

When you press check in your workspace, and once a day on a scheduled sweep. It is not a live push subscription yet, and we would rather say so than imply an instant trigger we have not built. A quote already routed is never routed twice, so re-checking is free.

Is the console on this page a demo?

It is the real engine, running the real rules, on invented sample quotes. The routing you see is the routing you get. Sample data is labelled as sample data wherever it appears, and none of those companies exist.

What is actually free?

One routing rule, with unlimited approvers on it, indefinitely. Not a trial. If your team has exactly one approval scenario, you never need to pay us. The paid plan is for more than one rule, more than one approver group, a saved workspace and CSV export of the audit trail.

Where is my data?

The console on this page runs entirely in your browser and nothing you type into it reaches us. That changes when you create a workspace: at that point your rules, your audit trail and your HubSpot token are stored on our side so they survive the browser. You can delete all of it from the workspace at any time, and deletion is immediate.

What is the catch on the price?

It is a first version from a solo founder, priced flat while it earns the right to be priced otherwise. There is no annual lock, no onboarding fee and no minimum seat count. If it does not do what you need, cancel from the billing portal without emailing anyone.

09 · Security and data

Where your data sits, in one place, including what we cannot claim.

The console on this page never sends anything to us

It runs the engine in your browser on invented sample quotes. No rule, threshold, approver address or note you type into it leaves the page, and none of it is in our analytics.

The HubSpot credential stays yours

You create the access token in your own portal and choose its scopes: read on quotes, line items and deals, write on quotes, nothing else. You can revoke it from HubSpot at any moment without contacting us. Checking a token does not store it.

A workspace is scoped to one account, in code

Storage starts only when you create a workspace. From then on every read and write of your rules, trail and token is scoped to your user, and a query that is not scoped is refused rather than served.

Sign-in is a single-use link, so there is no password

We ask for an email address, send a link, and hold no password for you to have reused somewhere else.

Deletion is immediate and is yours to run

Delete from inside the workspace and your rules, trail, token, sessions and user record go at once. There is no retention window and no email to send.

What we do not claim

QuoteRelay is a first version from a solo founder and holds no SOC 2, no ISO 27001 and no third-party audit. If your procurement requires one today, we are not yet the right tool, and saying so is cheaper for both of us than finding out in week six.

The long form is in the privacy policy and the terms.
